Controlled Drug Register

Controlled drugs, balanced to the ampoule.

A digital CD register built for stock that moves — stores, vehicles, drug bags and clinicians. Running balances that reconcile against physical stock, mandatory witnessing, and an export laid out like the paper register inspectors know. Part of Medicines Management, included in every tier.

Why this matters

The paper CD book was designed for a cupboard that doesn't move.

Yours is in a bag, on a vehicle, at an event, on someone's shoulder. The register should travel with it.

📕

Balances you can't trust

Hand-carried arithmetic across pages of a bound book. One transposed digit and every balance after it is wrong — discovered months later, at the worst time.

🚑

The register isn't where the drugs are

The book stays at the base; the morphine is on the road. Entries get written up hours later, from memory, in a different hand.

🕳️

Discrepancies with nowhere to go

A count that doesn't match becomes a margin note and a conversation — not a tracked investigation with an owner and an outcome.

The CD journey

Accounted for at every hop.

Controlled drugs follow the same journey as the rest of your stock — with extra rigour at every step.

Central store

Receipt logged with batch, expiry, quantity and supplier reference. The register starts here.

Base store

Per-store registers and minimum-level alarms. Expired stock moves to a quarantine store, out of circulation.

Vehicle

Sealed bags move with the vehicle. Seal removal is reported from the crew's phone the moment it happens.

Drug bag

Always in a named person's custody. Check-out, handover and audits are timestamped against the holder.

Clinician & patient

Witnessed administration recorded on the ePCR — batch, dose, route — with the register updated in the same motion.

The register

A running balance that proves itself.

Every controlled drug keeps a live register per bag and store. Rather than trusting a chain of arithmetic, AmbuNet reconciles the ledger against the physical stock the system tracks item by item — so the latest balance is always provably correct.

  • Every movement in one ledger — receipts, moves between locations, administrations, destructions and draw-ups, each attributed to a named user with a timestamp.
  • Corrections stay visible — a correction creates a new linked entry and preserves the original, flagged. A void returns stock and needs its own witness. Nothing is silently edited.
  • Drawn-up syringes tracked too — a CD drawn up into a syringe leaves the bag balance and appears as held stock against the clinician, until given, handed over or discarded.
  • Inspection-ready export — one PDF per drug, per location: date, entry, in, out, balance, clinician, witness. The format inspectors already know, generated in seconds.

Witnessing

Two people, every time it matters.

Controlled-drug actions demand a second pair of eyes — and AmbuNet won't record them without one.

  • Mandatory on administration — a CD administration can't be saved without a witness, enforced on the server, not just the form.
  • The witness can't be the clinician — the system rejects a witness who is also the administering clinician.
  • External witnesses supported — working alongside another provider? Record their name and contact details as the witness when no colleague holds an AmbuNet account.
  • Destruction and voids witnessed too — destroying expired CDs, disposing of part-used containers and voiding an administration each require their own witness.
  • Drawn-up CDs witnessed at draw-up — the witness is recorded when the syringe is prepared, not reconstructed afterwards.

Stock checks & discrepancies

Counted, compared, and never quietly adjusted.

Audits check the physical count against what the system expects — and when the numbers disagree, that becomes a tracked investigation, not a margin note.

🧮

Bag audits against expected stock

Audit a bag's contents batch by batch from the bag's own screen, web or mobile. Coded security seals are verified by scanning them — marked on the audit as verified by scan. Missing and surplus items are reconciled with individual log entries, and governance reviews every audit.

👤

Per-employee CD audits

Audit a clinician's controlled drugs with a witness — AmbuNet-tracked stock with the expected quantity calculated from the live register, or their own externally held CDs counted manually.

🚩

Discrepancies become investigations

A count that doesn't match automatically raises a discrepancy record with a status — open, under investigation, resolved — an owner, an update trail and a required resolution note. Governance is notified the moment it's raised.

📋

Escalate to an incident in one click

A discrepancy that warrants it links straight into AmbuNet's incident module — pre-filled, connected to the audit, and feeding your governance KPIs including CD audit pass rate.

Oversight

The right view for every role.

🚑

Crews

Administer, witness, audit and report seals from the phone — the register keeps itself.

💊

Medicines leads

Balances, expiry dashboards and a weekly expiry digest — plus bulk tools when stock needs moving.

🛡️

Governance

Audit reviews, discrepancy queue, correction and void authority, and medicines KPIs out of the box.

🔍

Inspection day

Export any register as a PDF, show the audit trail, and let the CQC Centre evidence the rest.

Retire the CD book. Keep the rigour.

The Controlled Drug Register is part of Medicines Management, included in every AmbuNet tier on web and mobile — no extra module, no per-register pricing.
